Introduction

At ProjectBox, we use artificial intelligence as a practical support tool, not a replacement for human thinking, experience, or judgement.

Our work is built around understanding how businesses actually operate: the people, the workflows, the friction points, the decisions, and the tools that support them. AI can help us work faster, organise information more clearly, and explore ideas more efficiently, but it does not replace the strategic thinking, context, care, or customisation that sits at the heart of ProjectBox.

This statement explains how we use AI, where we do not use it, and how we make sure it supports better work without compromising privacy, quality, or trust.

Our AI Philosophy

AI supports the work. It does not lead the work.

AI is useful for speeding up research, summarising information, drafting ideas, organising content, and helping us explore options.

But it does not decide what is best for a client. It does not replace discovery, judgement, experience, or the ability to understand how a real team actually works.

ProjectBox work is still human-led, strategy-led, and context-led.

We start with the business, not the tool.

This applies to AI the same way it applies to every other piece of software.

We do not use AI because it is shiny, trendy, or available. We use it when it helps create clarity, reduce admin, support decision-making, or improve the quality of the work.

If AI does not add value, we do not force it in.

Large to small, not small to large.

AI is generally strongest when it helps organise, summarise, compare, categorise, or simplify information that already exists.

We are more cautious when using AI to expand a small amount of information into something much larger. The less context AI has, the more likely it is to make assumptions, fill in gaps incorrectly, or drift away from the actual intent.

For that reason, we use extra care when asking AI to turn limited notes, ideas, or fragments into broader strategy work.

Human judgement stays in charge.

AI can suggest, summarise, draft, and organise.

Humans decide.

Every meaningful output is reviewed, refined, checked, and shaped by human expertise before it is used in client work or published publicly.

How We Use AI

ProjectBox may use AI to support internal work, client work, content creation, systems design, and workflow improvement.

Examples include:

Research and information organisation

AI may help summarise notes, organise ideas, compare options, structure information, and make large amounts of content easier to review.

Drafting and content support

AI may assist with first drafts, outlines, headlines, blog ideas, email structure, proposal sections, documentation frameworks, SOP skeletons, or training resources.

AI does not replace final review, editing, or ProjectBox judgement.

Workflow and systems thinking

AI may help explore workflow options, identify possible gaps, generate thinking challenge questions, or summarise discovery notes.

Any client workflow or systems outputs are ALWAYS human led and human finalised.

Client communication support

AI may help draft or refine non-sensitive client communication, meeting summaries, follow-up notes, or training materials.

All client-facing communication is reviewed before being sent.

Knowledge management

AI may help organise internal notes, reusable content, proposal language, delivery frameworks, documentation structures, and training material so that ProjectBox can work more efficiently and consistently.

Image and design support

AI may occasionally be used to support visual ideation, mockups, design exploration, or early-stage creative concepts.

AI-generated visuals are not used as final client deliverables without review, refinement, and clear suitability for the context.

How We Do Not Use AI

To protect quality, privacy, and trust, ProjectBox does not use AI in the following ways.

We do not use raw AI output as final work.

AI-generated content is never treated as final simply because it exists.

Everything important is reviewed, edited, checked, and shaped before it becomes part of deliverables, website page, proposal, system design, training resource, or recommendation.

We do not let AI make strategic decisions.

AI may support thinking, but it does not decide what we need.

Recommendations are based on discovery, experience, context, business needs, workflow realities, and human judgement.

We do not upload sensitive client information.

We avoid putting confidential, sensitive, commercially private, or personally identifiable client information into AI tools unless specifically requested by a client for a project.

We do not use AI to replace client understanding.

AI cannot understand a business the way proper discovery, conversation, observation, and experience can.

ProjectBox does not use AI as a shortcut around listening properly.

We are transparent about meaningful AI involvement

ProjectBox provides AI-related services, including support with tools such as ClickUp Brain, ClickUp AI, Super Agents, workflow automation, knowledge management, and practical AI adoption inside a business.

When we are engaged to design, build, configure, test, or support AI-powered systems, we will naturally use AI tools as part of that work. That may include using AI to explore prompts, test outputs, structure knowledge, draft workflows, review use cases, configure AI agents, summarise information, or troubleshoot how an AI-supported process behaves.

In those cases, AI is not hidden. It is part of the work.

What matters is that AI use remains purposeful, reviewed, and aligned with the client’s goals. We do not present AI-generated work as purely human-created when AI has played a significant or material role in the deliverable, system, workflow, or recommendation.

We aim to be clear with clients about how AI is being used when it is relevant to the project, the deliverable, the risks, or the way the final system will operate. This is especially important where AI tools are being embedded into a client’s workflow, used to process business information, or relied on to support decisions, communication, or internal knowledge.

AI may help us build, test, and improve AI-supported systems, but ProjectBox remains responsible for the strategy, configuration, review, context, and human judgement behind the work.

Guiding Principles

Clarity

AI should make work clearer, not more confusing.

If AI adds noise, unnecessary complexity, or vague filler, it is not helping.

Practicality

AI use should support real work, real decisions, and real outcomes.

We are not interested in AI theatre. We are interested in whether it saves time, improves quality, supports better thinking, or helps make work easier.

Human oversight

Every meaningful AI-supported output is reviewed by a human before use.

ProjectBox judgement stays in charge.

Privacy and security

Client trust matters.

We use care when deciding what information is appropriate to enter into AI tools and avoid exposing sensitive or confidential information.

Accuracy

AI can be wrong, even when it sounds confident.

We check facts, review logic, validate recommendations, and avoid relying on AI as the sole source of truth.

Context

AI is only useful when it has the right context.

ProjectBox uses AI carefully, with enough background and direction to reduce assumptions and improve usefulness.

Transparency

When AI use is relevant, material, or likely to matter to the client, we are open about it.

We do not hide AI use, but we also do not overstate it. AI is one tool in the toolkit.

AI and Client Work

ProjectBox may use AI to support client work where it helps improve speed, structure, clarity, or quality.

This may include:

  • Summarising discovery notes

  • Organising workshop outputs

  • Drafting documentation structures

  • Creating first-pass training outlines

  • Reviewing process gaps

  • Comparing tool options

  • Supporting ClickUp task, Doc, or workspace summaries

  • Creating first drafts of communication or support materials

However, final recommendations, workflow designs, system structures, and client deliverables are reviewed and shaped by ProjectBox before being shared.

AI does not replace the client’s context, the team’s reality, or ProjectBox’s responsibility to provide thoughtful, practical advice.

AI, ClickUp Brain, and Super Agents

ProjectBox recognises that AI is increasingly becoming part of the tools teams already use, including ClickUp.

When helping clients with ClickUp AI, ClickUp Brain, or Super Agents, our focus is on practical usefulness.

That may include:

  • Identifying where AI can reduce repeated admin

  • Helping teams use AI to summarise work or find information

  • Creating reusable prompts or workflows

  • Designing Super Agents for specific support roles

  • Improving knowledge retrieval inside ClickUp

  • Supporting project updates, documentation, and task summaries

  • Creating guardrails around when AI should and should not be used

The goal is not to add AI for the sake of it. The goal is to make work easier, clearer, and better supported.

Client Data and Confidentiality

ProjectBox treats client information with care.

We do not intentionally use sensitive client data in public AI tools.

Where AI tools are used, we consider:

  • What information is being shared

  • Whether the information is sensitive or confidential

  • Whether the tool is appropriate for that use

  • Whether the output needs additional review

  • Whether the client should be informed

Client privacy, confidentiality, and trust come first.

Content and Publishing

AI may assist with drafting, editing, brainstorming, outlining, or restructuring content.

However, ProjectBox does not publish AI-generated content without review.

Before content is used publicly or shared with clients, it is checked for:

  • Accuracy

  • Tone

  • Relevance

  • Specificity

  • Originality

  • Brand fit

  • Practical usefulness

  • Unhelpful assumptions

  • Generic or “AI-ish” language

If it sounds like a robot wrote it, it gets fixed and/or rewritten.

Responsible Experimentation

AI tools are evolving quickly.

ProjectBox is open to testing and adopting new AI tools where they provide genuine value, but we balance curiosity with caution.

Before using AI in a new way, we consider:

  • Does this actually improve the work?

  • Is the information appropriate to share?

  • Is the output reliable enough?

  • Does this save time without lowering quality?

  • Is human review still built in?

  • Would we be comfortable explaining this use to a client?

If the answer is no, we do not use it that way.

Our Commitment

ProjectBox is committed to using AI in a way that is:

  • Practical

  • Transparent

  • Human-led

  • Privacy-conscious

  • Quality-focused

  • Client-centred

  • Useful rather than performative

AI can help us move faster, organise better, and think more broadly.

But the value of ProjectBox is still the same as it has always been: understanding the real business, designing around real people, and creating systems that make work easier.

In Plain English

AI helps us do the work.

It does not replace the thinking.

It does not replace the relationship.

It does not replace the care, context, or judgement needed to build systems that actually work for real people.
